What We're Building, and Why

My understanding of the end goal for Mimi's wholesale program, written down so we're building toward the same target. If any of this is wrong or missing, say so — it's cheaper to fix here than in the build.

The end goal, in one paragraph

A single place Mimi's wholesale customers log into — starting with Rob at Cold Quality Products, later Top It Off and others — where they can order directly, see exactly what they've received and what's still owed with dates, track tub deposits and credits, pull down any sales material they need, and where both sides keep a shared written record of what was actually agreed.

The point is to stop guessing. Not what was said on a call, not what was delivered, not what's owed, not how many tubs are out. One record both parties can see, that neither has to reconstruct from memory or text messages.

And it has to work from anywhere — phone in a walk-in freezer, laptop at home, Rob's truck.

The goals, and where each one stands

Sales material a distributor can actually use

Done

Sell sheet and flavor list, buyer-facing, no pricing on them so Rob controls the price conversation. Print to a single page each.

Print-ready labels for 3-gallon tubs

Done

4″ and 6″ rounds, printed and blank write-in versions, all at true physical size. Plus a full printing guide — stock, vendors, laser vs inkjet, and a spec sheet to hand a print shop.

Internal pricing, separate from anything a buyer sees

Done

Tub bands, flat pricing with no volume discounts, delivery fees, the $5 tub deposit policy, and the scoop economics that actually close a restaurant account. Its own URL, never linked from the buyer pack.

Every flavor's real ingredients and allergens

The worksheet is built and waiting. You fill it in, export, and I generate every flavor's label and update the flavor list from it. This is the bottleneck — almost nothing else can finish until it's done.

Orders and deliveries in one shared record

What was ordered, when it shipped, what's still due and by when. Right now this is a page I hand-edit; it becomes live the moment storage is enabled.

Tub deposits and return credits, tracked automatically

$5 out per tub, $5 credited back per tub returned, running balance both sides can see. No more counting from memory.

Each phase is usable on its own — nothing waits for the whole thing to be finished.

When a second account signs

What only you can do

  1. Fill in the ingredient worksheet. The single biggest unblocker — labels, allergen statements and the flavor list all depend on it.
  2. Add Workers KV permission to the Cloudflare API token. One checkbox. Turns the ledger from a page I edit into a live shared record.
  3. Two flavors need recipes: Tie Dye Superman and Heath Cookie Dough. They're in Rob's first order and can't be labelled without them.
  4. Decide the $25 deposit on the trial order — waive it, or collect on return.
  5. Approve a label design direction when the flavor colour palette lands.
  6. Resolve Rocking W Dairy's town — Delta or Olathe. It goes on a legal ingredient statement.
